What we collect on this site. If you request early access we collect what you type into the form: company name, state, the brands you sell, a purchases range, and your email address. The site also uses Vercel Web Analytics, a cookie-free, privacy-focused analytics service that records page views and the anonymous events we use to measure interest (for example, that a form was submitted). No advertising trackers, no cross-site cookies, no sale of data.
What we use it for. To reply to your request, to onboard you if you join early access, and to decide whether to build this product further. Nothing else.
If we emailed you first. We contact US HVAC contractors who may be eligible for manufacturer co-op funds, using business contact details from public sources. Every such email says who we are, carries our real postal address, and includes a working opt-out — reply STOP and we stop: your address goes on our permanent do-not-contact list the same day, and every future send is checked against it. (That's also why we keep the address itself — deleting it would mean we couldn't honor the opt-out.)
Deletion. Email us and we delete what we hold about you, promptly and without argument — with two honest exceptions we'll name in our reply: your address stays on the do-not-contact list if you opted out (so we never email you again), and we keep records we're required to retain to substantiate an already-filed claim.
Preparing a co-op claim means you eventually hand us real financial records. That is a serious ask, so here is exactly what we collect, when, and what happens to it.
What we collect, and when. At the free estimate: only the brands you buy from and a rough annual volume band — no documents, no financials. Documents come later, and only after you sign a written authorization: up to 12 months of equipment purchase invoices, distributor statements, and ad invoices/placement proof, used solely to compute your verified accrued co-op and build your claim packet.
If you send documents before signing. It happens. We don't use them: we delete them and ask you to re-send after the authorization is signed.
What we do with them. Compute your per-brand accrued balance and assemble your claim packet — nothing else. We do not file or submit any claim; you file every claim. Any proof-point shared with a partner or referrer is anonymized unless you authorize otherwise in writing.
Who else touches your data. We do not sell or rent your data. We share it only with the service providers we use to do the work, each processing your documents solely to perform this service: AI document processing — Anthropic's Claude, via API, under Anthropic's commercial terms, which do not train on API data; AI extracts and drafts only — a human reviews everything before it reaches you, and nothing is filed by anyone but you · hosting and infrastructure — Vercel · email — Proton Mail (hosted in Switzerland/Germany) and Resend (outbound delivery). We never share your purchase volumes, ad spend, or claim history with manufacturers, distributors, or other dealers. We hold no bank or card credentials; payment, when you choose to subscribe, is processed by Stripe.
Access control. Your documents are accessible only to the founder — no one else. They are stored in Proton Drive (hosted in Switzerland/Germany, end-to-end encrypted), access-restricted to that single account, and encrypted in transit and at rest. We keep an access record of who viewed your documents.
Retention. We retain your invoice data only as long as needed to prepare and support your active claims, or as required to substantiate a filed claim to the brand — 12 months after your last active claim (brands can audit and charge back after paying, so we keep what proves your claim was right). Estimate-stage data (brands + volume band) is retained up to 6 months unless you ask us to delete it sooner.
Deletion, on request. Ask at any time by emailing coopreclaim@fenwicklabs.co. We delete within 30 days — usually much sooner — and confirm in writing, except records we must retain to substantiate an already-filed claim, and we'll tell you which, and why. On account closure, we delete or return your documents per your instruction within 30 days.
Data controller. Moonlighter AB (Org.nr 559395-7979), Solviksvägen 61, 167 63 Bromma, Stockholm, Sweden — an EU-registered company, which means EU data-protection law (GDPR) applies to how we handle personal data, including your right to deletion above.
Early access. CoopReclaim is in early access. Reserving a spot places no obligation on you and creates no charge today; paid service begins only if you explicitly subscribe after onboarding.
What the product does. CoopReclaim prepares co-op claim documentation: balance estimates, program rule summaries, deadline tracking, and claim packets. Approval and payment of any claim rest entirely with the brand or distributor that runs the program. Estimates on this site use typical program accrual rates and are not a promise of recovery.
You submit; you attest. CoopReclaim estimates and prepares; you review and file your own claims. We never file or submit a claim on your behalf, and never sign or attest for you.
Independence. CoopReclaim is not affiliated with, sponsored by, or endorsed by any equipment manufacturer or distributor. Brand names used in samples are fictional.
Liability. We work carefully, but you review and submit your own claims; we accept no liability for a program's decision on a claim. If the service is ever not worth its fee to you, cancel; billing stops at the end of the paid period. Nothing here is legal or tax advice.
