Privacy, terms, and data handling

Privacy

What we collect on this site. If you open the free estimate in the app, it receives the equipment-brand names you enter. If you request research on a brand, we collect the brand name and work email you submit so we can operate that request. The site uses Vercel Web Analytics for page views. Funnel events are written to CoopReclaim's own database with a random identifier that is hashed before storage; event payloads do not include your email, brand names, or document contents. The marketing site keeps the identifier in session storage and passes it to the app, where it becomes a first-party cookie. No advertising trackers, no cross-site advertising cookies, no sale of data.

What we use it for. To run the brand-recognition estimate, provide the account and claim-preparation service you request, respond to you, and understand whether the product is useful. Nothing else.

If we emailed you first. We contact US HVAC contractors who may be eligible for manufacturer co-op funds, using business contact details from public sources. Every such email says who we are, carries our real postal address, and includes a working opt-out — reply STOP and we stop: your address goes on our permanent do-not-contact list the same day, and every future send is checked against it. (That's also why we keep the address itself — deleting it would mean we couldn't honor the opt-out.)

Deletion. You can delete your account and its private data from Account settings. You can also email us and we will delete what we hold about you. If you opted out of outreach, your address remains on the do-not-contact list so we do not email you again.

Your claim documents: privacy, retention, and deletion

Preparing a co-op claim means you eventually hand us real financial records. That is a serious ask, so here is exactly what we collect, when, and what happens to it.

What we collect, and when. The free estimate asks only for equipment-brand names — no purchase amount and no documents. After you create an account and acknowledge this Privacy Policy and the Terms, you can upload ad invoices, tear sheets, screenshots, and other claim proof. There is no separate written authorization form in the current app. A distributor statement used to verify a balance is currently sent by email for manual review.

What we do with them. We use a distributor statement to verify whether the dealer account has a co-op balance. We use ad documents to propose placement details and prepare a claim packet. We do not file or submit any claim; you review and file every claim. Any proof-point shared with a partner or referrer is anonymized unless you authorize otherwise in writing.

Who else touches your data. We do not sell or rent your data. We share it only with the service providers we use to do the work, each processing your documents solely to perform this service: AI document processing — when live extraction is enabled, Anthropic's Claude API proposes fields from uploaded documents; uncertain or unreadable fields are flagged rather than guessed · hosting, database, and private object storage — Vercel and Neon · email — Google Workspace (mailboxes and correspondence) and Amazon SES (transactional message delivery). Nothing is filed by anyone but you. We never share your purchase volumes, ad spend, or claim history with manufacturers, distributors, or other dealers. Billing is inactive. If paid billing is enabled later and you choose to continue, Stripe will process the payment; CoopReclaim will not hold bank or card credentials.

International data transfers. Several of these providers — Google Workspace, Anthropic, Vercel, Neon, and Stripe — are US companies, and Amazon SES is run by a US company (we configure it in the EU). Where your personal data is transferred to, or accessible from, the United States, that transfer relies on the provider's data-processing agreement using the EU Standard Contractual Clauses and, where the provider offers it, EU–US Data Privacy Framework certification; we'll send you the specific safeguard on request.

Storage and access control. In-app uploads are stored as private Vercel Blob objects. The browser does not receive a public Blob URL: it requests the file through CoopReclaim, which requires a signed-in session and checks that the document belongs to that dealer account before returning it. Distributor statements sent by email are received in Google Workspace. Authorized CoopReclaim operators and the named service providers can access data only as needed to run and support the service.

Retention. While your account remains open, its claim records and uploaded documents remain in the account so you can use them. The current product does not apply a separate automatic 12-month archive or a filed-claim retention exception.

Deletion, on request. Ask at any time by emailing privacy@coopreclaim.com. We delete within 30 days — usually much sooner — and confirm in writing. If you use Delete account in Account settings, the app first deletes its stored files. Only after storage confirms every file is gone does the app permanently remove the account's users, balances, placements, claims, outcomes, and audit history. If storage is temporarily unavailable, the account and file references remain so deletion can be retried; the app does not report completion. The shared, non-account-specific brand-rules library remains.

Data controller. Moonlighter AB (Org.nr 559395-7979), Solviksvägen 61, 167 63 Bromma, Stockholm, Sweden — an EU-registered company, which means EU data-protection law (GDPR) applies to how we handle personal data, including your right to deletion above.

Terms

Early access. CoopReclaim is free during early access. Billing is not active and no charge can start today. The planned price is $99/month when billing begins; we will give notice before that happens, and you decide whether to continue.

What the product does. The free estimate recognizes equipment brands in CoopReclaim's co-op program directory; it does not produce a dealer-specific dollar figure. After a distributor statement is reviewed, CoopReclaim prepares co-op claim documentation: verified balances, program rule summaries, deadline tracking, and claim packets. Approval and payment of any claim rest entirely with the brand or distributor that runs the program. Brand recognition is not proof that a dealer is enrolled, eligible, or has a balance.

You submit; you attest. CoopReclaim verifies and prepares; you review and file your own claims. We never file or submit a claim on your behalf, and never sign or attest for you.

Independence. CoopReclaim is not affiliated with, sponsored by, or endorsed by any equipment manufacturer or distributor. Brand names used in samples are fictional. Real names and unmodified logos in the coverage directory identify the program family only; all trademarks belong to their respective owners.

Liability. We work carefully, but you review and submit your own claims; we accept no liability for a program's decision on a claim. If paid billing is enabled later, you may cancel and billing will stop at the end of the paid period. Nothing here is legal or tax advice.

Who we are

In one place. CoopReclaim is the product, operated by Moonlighter AB — a Swedish limited company, Org.nr 559395-7979, registered at Solviksvägen 61, 167 63 Bromma, Stockholm, Sweden, and look-up-able in the Swedish company register (Bolagsverket). Moonlighter AB is the legal entity behind every email we send and the data controller for everything described on this page.
